AI vs. Traditional Automation: Choosing the Right Tool

NetWorth LLC · October 6, 2026

Many operational problems that look like AI problems are really rules problems. If a task follows the same steps every time and the inputs are structured, traditional automation is usually simpler, cheaper, and easier to maintain.

Where rules-based automation fits

Moving data between systems on a schedule, routing records based on fixed criteria, sending standard notifications, and generating recurring reports from clean data are typically well served by conventional automation.

Where AI may add value

AI becomes worth evaluating when inputs vary: unstructured emails, documents in many formats, free-text requests, or decisions that depend on interpreting context. Even then, the value depends on volume, accuracy requirements, and how much human review the process needs.

Questions to ask first

How often does the task occur? How varied are the inputs? What does an error cost? Who reviews the output? What systems does it need to connect to? Answering these before choosing a tool often reveals that a workflow change or better use of existing software is the right first step.
